Data controller and contact

Firefighter Pay operates firefighterpay.co.uk. Privacy requests can be sent to contact form.

Calculator and planning inputs

Calculator inputs are processed in your browser and are not sent to Firefighter Pay unless you choose one of the actions below (saving a report, using the AI assistant, or submitting a form). Some tools also keep your entries in local browser storage on your device; clearing site data removes them.

Accounts and saved reports

If you create an account we store your email address, optional first name and sign-in details with Google Firebase Authentication, plus your purchases (which tools you have unlocked) and any reports you choose to save. A saved report contains the inputs and results you save, and is visible only to you. You can view, export and delete this data, or delete your whole account, from the Account page; deleting your account removes your saved reports and entitlements. Purchase records are kept as financial records but are unlinked from a deleted account.

AI assistant

When you ask the AI assistant a question or generate an AI briefing, we send your question and the figures shown by the tool you are using (for example the results of your calculation) to Google’s Gemini API to generate the answer, together with a short record of your usage counts so we can apply free-question and daily limits. Do not include names, National Insurance numbers or other sensitive details in questions. AI answers are general information and may be wrong.

Newsletter and candidate register-interest

If you subscribe to the newsletter we store your email address, your first name if you give one, the topics you choose (or the topic of the page you signed up on), the page you signed up on, any free download you asked for and the audience type you select. Newsletter emails will be sent through Kit (kit.com), our email service provider, which will hold the same details on our behalf to send the emails; until we start sending, they stay only in our own database. Every email has a link to change your topics or unsubscribe, and you can also unsubscribe at /unsubscribe/. If you register interest in joining the fire service we store your name, email, the first half of your postcode (the district only), the type of role and services you are interested in, and your consent choices. We only contact you about jobs if you tick that box and we only share your details with the named fire and rescue services if you separately tick the sharing box, which is off by default. To withdraw consent or have your details deleted, email us at the address above.

Payments

Payments are processed by Stripe. We send the selected product and return URL to a secure server function, and Stripe collects the payment details. Firefighter Pay does not receive or store full card details. The checkout session identifier is used to verify access to the purchased product.

Analytics

Google Analytics is loaded only after you accept optional cookies. It can process usage and device information to help us understand site performance. Rejecting optional cookies does not prevent use of the calculators or purchased tools.

Legal bases and retention

Optional analytics relies on consent. Account, saved-report and AI features are necessary to provide the service you request. Newsletter and register-interest contact rely on your consent. Payment processing is necessary to perform the purchase contract and meet legal obligations. Stripe and our hosting providers retain records under their own policies and applicable law. Local browser data remains until you or the browser removes it.

Your rights

Depending on applicable UK data-protection law, you may ask for access, correction, deletion, restriction or objection, and can complain to the Information Commissioner’s Office. We may need information sufficient to locate a payment record before responding.

Processors and international transfers

The site uses Firebase/Google for hosting, sign-in, database and secure functions, Google’s Gemini API for AI answers, Stripe for payments, and Google Analytics only with consent (without consent it receives only anonymous, cookieless page counts). Those providers may process data outside the UK using their published transfer safeguards.
